Profile

The Profile page in FortiMail Workspace Security lets you manage the profile settings for you, the admin user that is currently logged-in to FortiMail Workspace Security.

To open the Profile page: In FortiMail Workspace Security, in the left navigation menu, select Settings > Profile.

Admin users with any user role are able to display the Profile page.

You can view and configure the following profile details:

Personal Information

Full Name

Shows your full name in FortiMail Workspace Security. This name will be displayed on the right of the FortiMail Workspace Security banner, and will be used in various other locations by FortiMail Workspace Security.

Only a user with the "Administrator" role can change the name of a user.

Email Address

Shows your email address. All relevant FortiMail Workspace Security communication with you'll be sent to this address.

Only a user with the "Administrator" role can change your email address.

Security

Force Multi-Factor Authentication

Forces all admin users in the organization to enable and set-up multi-factor authentication [MFA - see below] in order to be able to access FortiMail Workspace Security.

This option appears only for admin users with the "Administrator" role.
This option affects the selected organization only - child organizations of the selected organization are not affected.
After you enable this option, the next time that an admin user signs-in to FortiMail Workspace Security, the MFA registration process for that admin user will be initiated.

User MFA

Lets you activate and set-up multi-factor authentication [MFA] that will be required for you to access FortiMail Workspace Security.

After you activate MFA:

When you next log-in to FortiMail Workspace Security, you'll be instructed to scan a QR code with Google Authenticator [or a similar authenticator app], and then enter a passcode.
You'll also get a recovery code that you can use to access FortiMail Workspace Security when your device is not available. Make sure to keep the recovery code in a safe place. The recovery code may also be required in the case of an account take-over, and if you replace your phone with a different phone.

To reset MFA for a user: Remove the admin user, and then re-add the admin user. Thereafter, you can re-activate MFA for the user.

Note: If you are the only admin user, contact FortiMail Workspace Security Support [support@perception-point.io] for assistance.

To transfer MFA from one device to another: Remove the admin user, and then re-add the admin user. Thereafter, you can activate MFA on the new device.

Note: If you are the only admin user, contact FortiMail Workspace Security Support [support@perception-point.io] for assistance.

To disable MFA: Contact FortiMail Workspace Security Support [support@perception-point.io].

Note:

You can't disable MFA if "Force Multi-Factor Authentication" [see above] is enabled.

Password

Changing or resetting your password

Click "Reset Password" to reset your password. An email will be sent to your registered email address [see above]. The email will contain instructions on how to reset your password.
You can also click "Don’t remember your password?" on the FortiMail Workspace Security log-in page.
There is no expiration period for passwords.

API Key

Gives you access to the API key of the admin user that is currently signed-in to FortiMail Workspace Security. You may need this value for authorization when using FortiMail Workspace Security API calls. For details about the FortiMail Workspace Security API, see API [FortiMail Workspace Security].

For security reasons, the API key is not visible. If you require your API key and you don't know what the key is, it is not possible to retrieve the key. You'll need to regenerate the key. See "Regenerate API key" below.

For security reasons, FortiMail Workspace Security Support doesn't know your API key and can't access your API key. Therefore, FortiMail Workspace Security Support can't ever send your API key to you.

Note:

The API Key functionality exists only for admin users that have the Admin user-role. For all other user-roles [other than Admin], no API key exists.
You may require this API key when performing certain integrations, such as Azure Blob and Salesforce. For details, see Azure Blob integration and Salesforce integration.
If you think that your API key may have been compromised, click "Regenerate API key" to generate a new API key. See below for details.
The API key is sometimes referred to as an API token, API authentication token, or a Secret.

Regenerate API key

Generates a new API key. As soon as the new API key is generated, the previous API key will no longer be valid.

Important: Make sure to copy the newly generated API key when it is displayed, and save it in a safe place [if required]. The key won't be retrievable again after it is displayed and the dialog box has been closed.

Tip: Dedicated API users

If you don't want to be dependent on a specific admin user constantly being part of the organization [and not leaving], then you can create a dedicated admin user for this purpose. For example, you could create an admin user with the user name "Dedicated API user."

Make sure to assign the new admin user the "Admin" role. To access the API authentication token [API key] for the new dedicated admin user, you'll need to sign-in to FortiMail Workspace Security as the new dedicated user.

Contact Information

Organization Name

The name of your organization - as it will appear throughout FortiMail Workspace Security.

The organization name can be changed by FortiMail Workspace Security Support [support@perception-point.io] only.

Organization's Default Interface Language

The language of the FortiMail Workspace Security user interface that will be displayed to new admin users in your organization.

Each admin user can change the UI language that is displayed when they sign-in to FortiMail Workspace Security.

The currently available interface languages are English, Spanish, German, French, Italian, Portuguese, Korean, and Japanese.

The default display language can be changed by FortiMail Workspace Security Support [support@perception-point.io] only.

Note: The language of the FortiMail Workspace Security user interface does not affect the detection capabilities of FortiMail Workspace Security. FortiMail Workspace Security detects spam, phishing, and other threats, regardless of the language.

To change the FortiMail Workspace Security interface display language:

Click the down-arrow that is on the right of your name on the right of the FortiMail Workspace Security banner, click Language, and then and then click the required language.

It is possible to change the FortiMail Workspace Security interface display language. For details, see Changing the interface display language above.

Note: Alerts and reports are available in English only.

Selecting the display theme

By default, FortiMail Workspace Security is displayed using the "light" display theme [mode]. An admin user can change the display to the "dark" display theme.

To switch the display theme:

Click the down-arrow that is on the right of your name on the right of the FortiMail Workspace Security banner [].
Click Theme, and then select the required theme: Light or Dark.
